SPHERE OF THE POLICY

This policy outlines what we do with personal information we collect when you book and attend an in-house (“Facility”) or off-site (“Mobile”) event. “Personal information” refers to the name, email address, phone number, and mailing address. We do not gather any other personal information. Payment information, such as credit card numbers, is gained through our third-party credit card processing company (Square Inc.) and we do not gain access to credit card information. Please see their Privacy Policy HERE. Credit card information is only stored for space rental clients, and it’s required for incidentals and or damages.

TYPES OF EVENTS

There are three types of events that we host – “Public Events/Experiences”, “Private Parties/Events”, “Corporate Outings”. A Public Event is a pre-scheduled event when a guest can purchase Xperience tickets or Café reservations for an experience that is offered to the general public. Public Event/Experience tickets and Café reservations can be purchased directly through our website.

A Private Party/Event, such as a birthday party, or any private group gathering where it is closed to the public and is only for those invited by an “Event Coordinator”. The Event Coordinator is the point of contact between all attendees and Art Zowie and is responsible for gathering the guest list and providing payment.

A Corporate Outing is a private corporate event, such as a team-building outing where it is closed to the public and is only for those invited by an “Event Coordinator”. The Event Coordinator is the point of contact between all colleagues and Art Zowie and is responsible for gathering the guest list and providing payment.

WHAT INFORMATION DO WE COLLECT AND WHY?

Public Experiences: Name – Your name is used for the purposes of registration and is required when attending any of our public experiences. Email Address – An Email Address is collected for the purpose of sending a purchase confirmation, link to photos taken during the event, and for in-house promotional marketing such as our monthly newsletter. Phone Number – A Phone Number Is collected for last-minute event changes that require immediate contact or in the event that an email address is invalid. It is NOT used for any marketing or promotional purposes.

Private Facility Experiences (In-House): Name – Only the name of the coordinator is collected for the purposes of event coordinating and having one point of contact. Individual guests’ names are not collected unless in the event of a specific celebration such as a birthday where the birthday person’s name is projected on the wall. Email Address - An Email Address is collected as the main source of communication between Art Zowie and the Event Coordinator. It is also used for sending post-event photos and video links of the event. It is also used for in-house promotional marketing such as our monthly newsletter. Phone Number – A Phone Number from the coordinator is collected as a secondary form of communication or in the event that immediate contact is required. It is NOT used for any marketing or promotional purposes.

Corporate Facility Outings (In-House & Mobile): Name – Only the name of the coordinator is collected for the purposes of event coordinating and having one point of contact. A company name is also requested for the purposes of projecting the logo on the wall during the In-house event. Email Address - An Email Address is collected as the main source of communication between Art Zowie and the Event Coordinator. It is used for sending post-event photos and video links of the event. It is also used for in-house promotional marketing such as our monthly newsletter. Phone Number – A Phone Number from the coordinator is collected as a secondary form of communication or if immediate contact is required. It is NOT used for any marketing or promotional purposes.

Photo and Video

Art Zowie holds the right to take photos and videos during public and private experiences for the purpose of providing clients with an editing complimentary video and photos of the experience. The short video created for each experience is not posted publicly. The Organizer will receive a private YouTube link to the video and only those with this link will be able to view it. The photos, including any photographs or video recordings made by Art Zowie during the Event, may be used by Art Zowie and the Organizer for their marketing which may include posting the photos along with a caption/summary of the Event on social media, internal or external websites, marketing materials and/or presentations. The taking of photos and videos by guests are allowed, however, the filming of the entire event is strictly prohibited. Art Zowie has no control over clients sharing photos or videos on their personal social media channels. Private Party or Corporate Outing Organizer can choose to opt-out of any photo taking or video recording by Art Zowie by simply requesting it with your event manager. For Public events, direct photos can be declined but we cannot guarantee that you may not appear in the background. You must notify the host prior to the start of the event.

Changes to the Policy

This Policy may change from time to time. The changes will only apply to the personal information we collect after we have posted the revised Policy.

It is your responsibility to check this Site for updates as you will be bound by them if you choose to visit our facility or virtual platform.
